Privacy Policy

Voicesource knows that you care how information about you is used and shared and we appreciate your trust in us to do that carefully and sensibly. This notice describes our privacy policy. By visiting the Voicesource website, you are accepting and consenting to the practices described in this Privacy Notice.

1. Statement of intent

The information we learn from customers helps us personalise and continually improve your experience at the Voicesource website. We use the information to handle orders, deliver products and services, process payments, communicate with you about orders, products, services and promotional offers, update our records and generally maintain your account with us, and recommend products, courses and services that might be of interest to you.

From time to time, you will be asked to submit personal information about yourself (for example, name and email address, and so on) in order to receive or use services on our website. Such services include newsletters, competitions, ordering products, reserving places on courses, and membership.

By entering your details in the fields requested, you enable Voicesource Limited and its product/service providers to provide you with the services you select. Whenever you provide such personal information, we will treat that information in accordance with this policy. Voicesource Limited will act in accordance with current legislation and aim to meet current Internet best practice.

2. Information on visitors

Here are the types of information we gather.

Information you give us: we receive and store any information you enter on our website or give us in any other way. You can choose not to provide certain information but then you might not be able to take advantage of many of our features, order products or reserve places on courses.

Automatic information: we receive and store certain types of information whenever you interact with us. For example, like many websites, we use “cookies” and we obtain certain types of informationwhenyour web browser accesses the Voicesource website (see Cookie information). Examples of the information we receive is listed at the end of this document. You can disable your “cookies” using your web browser. Although we will not be able to provide you with a personalised experience at the Voicesource website if we cannot recognise you, we want you to be aware that these tools exist.

Email communications: if you do not want to receive email or other mail from us, please adjust your Communication preferences.

3. Use and storage of your personal information

Any personal information provided to or gathered by the Voicesource website is controlled by Voicesource Limited, PO Box 5658, Milton Keynes MK10 9YQ.

When you supply any personal information to the Voicesource website (for example, for newsletter registration, reserving a place on a course or membership) we have legal obligations towards you in the way we deal with that data. We must collect the information fairly, that is, we must explain how we will use it (see the notices on particular web pages that let you know why we are requesting the information) and tell you if we want to pass the information on to anyone else. In general, any information you provide to Voicesource Limited will only be used within the company or by our service providers. It will never be supplied to anyone outside the Voicesource Limited without first obtaining your consent, unless we are obliged or permitted by law to disclose it. Also, if you engage in any disruptive behaviour on voicesource.co.uk (such as attempting to ‘hack’ our website), and Voicesource Limited considers such behaviour to be serious and/or repeated, we may use whatever information that is available to us about you to stop such behaviour. This may include contacting relevant third parties such as the police, your employer, school or email provider.

We will hold your personal information on our systems for as long as you use the service you have requested, and remove it in the event that the purpose has been met, or, in the case of membership you no longer wish to continue your registration as a member. Where personal information is held for people who are not yet registered but have taken part in other services (for example, attending a course), that information will be held only as long as necessary to ensure that the service is run smoothly. We will ensure that all personal information supplied is held securely, in accordance with the Data Protection Act 1998.

For some of our services Voicesource Limited may contact you for a number of purposes related to the service you have signed up for. For example, we may wish to provide you with password reminders or notify you that the particular product you have ordered has been dispatched. We will not contact you for promotional purposes, such as notifying you of improvements our services or new products on voicesource.co.uk unless you specifically agree to be contacted for such purposes at the time you submit your information on the website, or at a later time if you sign up specifically to receive such promotional information.

4. Access to your personal information

You have the right to request a copy of the personal information Voicesource Limited holds about you and to have any inaccuracies corrected. We charge 10 for information requests. 5. Users 16 and under

If you are aged 16 or under, please get your parent/guardian’s permission beforehand whenever you provide personal information to the Voicesource website. Users without this consent are not allowed to provide us with personal information.

6. Businesses we do not control

Agents: we employ other companies and individuals to perform functions on our behalf. Examples include delivering packages, sending postal mail and email, removing repetitive information from customer lists, analysing data, providing marketing assistance and processing credit card payments. They have access to personal information needed to perform their functions, but may not use it for other purposes. Further, they must process the personal information in accordance with this Privacy Notice and as permitted by the UK’s Data Protection Act.

Promotional offers: sometimes we send offers to selected groups of Voicesource Limited customers on behalf of other businesses. When we do this, we do not give that business your name and address. 7. Business transfers

As we continue to develop our business, we might sell or buy stores, subsidiaries or business units. In such transactions, customer information generally is one of the transferred business assets but remains subject to the promises made in any pre-existing Privacy Notice (unless, of course, the customer consents otherwise). Also, in the unlikely event that Voicesource Limited or substantially all of their assets are acquired, customer information will of course be one of the transferred assets.

8. Conditions of Use, Notices and Revisions

If you choose to visit the Voicesource website, your visit and any dispute over privacy is subject to this Privacy Notice and our Conditions of Use, including limitations on damages and application of the laws of England. If you have any concern about privacy at the Voicesource website, please submit a thorough description at www.voicesource.co.uk/feedback. Our business changes constantly and our Privacy Notice and the Conditions of Use will change also. We may email periodic reminders of our notices and conditions, unless you have instructed us not to, but you should check our website frequently to see recent changes. Unless stated otherwise, our current Privacy Notice applies to all information that we have about you and your account. We stand behind the promises we make, however, and will never materially change our policies and practices to make them less protective of customer information collected in the past without the consent of affected customers.

Examples of ‘Automatic Information’ we collect

Examples of the information we collect and analyse include the Internet protocol (IP) address used to connect your computer to the Internet, login, email address, password, browser type and version, your operating system and platform, purchase history, which we sometimes aggregate with similar information from other customers, the full Uniform Resource Locators (URL) clickstream to, through and from our website (including date and time), cookie number, products you viewed or searched for, and any phone number used to call our customer services.
